About the role
We're looking for a proactive and caring Office & Team Experience Coordinator to join our Malmö office – home to 50+ talented software engineers, product managers, designers and QA-specialists. This is the headquarter for our software development and a crucial part of the 4C organisation, why a great atmosphere, work-environment and the well-being of our employees are our highest priorities and your work of great importance!
You are the key to making everything at the office run smoothly and offer all possible support to local management and team leads with their day-to-day admin. Together with the Office Manager in Stockholm, you form the Office Team Sweden and in close collaboration you two will deliver world-class support to all employees in both offices.
You also own the Office budget and work together in aligning all possible Office-related investments and purchases, always with a cost-effective mindset.
This is a role reporting locally to our Malmö Office Manager Håkan Ekvall and having Rikard Bendt, HR Business Partner Nordics as line manager, Office being a part of the HR-organization.
Examples of tasks
Office coordination
- Own the day-to-day running of our Malmö office — ensuring a welcoming, well-organized and fully stocked work environment
- Handle relationships with the landlord and all possible office suppliers. This includes but is not limited to electricity, cleaning, maintenance, breakfasts, snacks, lunch deliveries, other general supplies and much more
- Manage the onboarding of new employees and make them feel welcome, ensuring they have all equipment they need, like access cards/tokens and IT-equipment
- Welcome visitors, internal as well as external and support them during their time at the Malmö-office
- Plan and execute local social events such as team lunches, after work, seasonal parties, celebrations and other internal meetups
- Be the go-to person for all office-related questions and improvements, including the local work environment, on cooperation with HR
- Responsible for the local Office budget
Team admin support:
- Support CTO, CAIO and local team managers with day-to-day administrative tasks, to help them focus on their main tasks
- Handle incoming invoices and purchase orders, in close collaboration with the Stockholm office manager
- Maintain records for licenses, subscriptions, and renewals
- Coordinate travel bookings and meeting logistics when needed
- Support the broader 4C organization with administrative tasks when time allows
- Provide support to the Human Resources department by assisting with a wide range of administrative duties
Who are you?
- A few years of experience in a similar combined role — ideally in a fast-paced tech environment
- Comfortable working in both Swedish and English, where fluent Swedish is a must
- Skilled in the Microsoft 365 suite (Outlook, Excel, Teams, etc.) and familiar with modern admin and collaboration tools
- Highly organized with strong attention to detail
- A social and approachable personality — someone who enjoys helping others and making the office a great place to be

- Hybrid work: At the Malmö office we meet three days per week, currently Tuesday-Thursday.
As our customers operate within fields that require security clearances, all employees of 4C Strategies need to be able to obtain a security clearance if required.
Swedish citizenship or a valid work-visa are absolute requirement for the position.
